We understand you would like to arrange for a volunteer to collect & redistribute your surplus food. Please fill in the following form to determine suitability for collection. It will take about 2 mins to complete the form - all of the information is required to ensure collection and redistribution of your food goes as smoothly as possible. Collectively, we can make a massive difference, so thank you for standing up to food waste!

Version 2.1 - 2nd August 2018 OLIO Surplus Food Donor Agreement

Thank you so much for agreeing to donate your surplus food to OLIO. We are delighted that you have chosen to work with us to help reduce the amount of food that is wasted. Now that we have agreed to work together we think it would be helpful to clearly set out the rules and explain our mutual responsibilities so that there is no confusion going forward.

What we expect from you

  1. You must be registered with your local authority and hold a current Food Hygiene Rating of “3” or greater. Further details of the Food Hygiene Rating Scheme may be found here: http://ratings.food.gov.uk/
  2. Our Food Waste Heroes are amateur volunteers drawn from all walks of life. Whilst we provide them with information about the safe handling of food, we will be relying on your status as professionals to ensure that the food you donate is safe, complies with all relevant food law and is accompanied by adequate food information. In particular, we require that you:
    1. Include details of our agreement in your Food Safety Management System (for example “Safer Food Better Business”) and make any necessary adjustments to the storage of donated food prior to collection to ensure that it is safe.
    2. Ensure that all food allergens are properly and accurately declared and adequate steps taken to prevent cross contamination of other foods.
    3. Check the temperature of relevant food immediately prior to collection by our Food Waste Heroes to ensure that it is safe and compliant with law.
    4. Inform our Food Waste Heroes of anything which might make the donated food unsuitable for collection.
    5. Don’t donate any age restricted products (ie alcohol) to our volunteers.
  3. You must tell us immediately by emailing hello@olioex.com about anything which might affect your ability to meet the requirements of 1. And 2. above and in particular:
    1. If you are awarded a Food Hygiene Rating of 2 or below.
    2. You become aware of anything which might affect the safety of food donated to us.
  4. You must have in place, for the duration of this agreement, a public liability insurance policy with a reputable insurance company for not less than £1 million per claim.

What you can expect from us

  1. We will
    1. Allocate Food Waste Heroes to collect donated food from you within an agreed time slot.
    2. Notify you as soon as possible if we are unable to collect food at the agreed time.
    3. Inform you of any complaints or queries that we might receive from OLIOers who we supply with your food.
  2. We will not
    1. Collect food from you if the Food Waste Heroes has any concerns about the safety or quality of food. In particular we will not collect food:
      1. That has expired its “use by” date.
      2. Where no food allergen information is provided.
  3. We have developed clear food safety guidelines in partnership with relevant local authorities so that you can donate your food with confidence. Our systems will give you the peace of mind that your food will reach the consumer in a safe condition and that your business will not be exposed to any additional risk by helping to reduce food waste through OLIO.

Use of Images

OLIO would love to post photographs from time to time to promote the great work that you are doing with us, but we would like to make sure that you are okay with this. Here are the rules that we will apply to the use of such images:

  1. You grant OLIO exclusive permission to use photographs taken by OLIOers for the purpose of promoting your contribution to cutting food waste and to encourage others to follow your lead.
  2. You do not object to OLIO
    1. Storing copies of such photographs for as long as necessary so that we can use them for this purpose.
    2. Sharing these photographs through our website, social media and/or local/national media
    3. Providing your contact details if requested by media contacts.
  3. If you prefer for us to not do this or to stop, you can withdraw the consent you have given at any time by contacting OILO at hello@olio.com

OLIO is the data controller and responsible for the personal data comprising the photographs and your contact details and any related personal data. We will ensure that this will be appropriately handled and only be used for the purposes set out above.

We look forward to working together in the future but if things do not work out, either of us may cancel this agreement with 14 days written notice.

At the time of collection, how long will the food have been out at room temperature?

Food that was kept chilled prior to serving and then is left in room temperature at 4 or more hours may not be safe to eat. As such we cannot provide a volunteer to collect and redistribute the food.

Refrigeration

Can the food be refrigerated prior to collection?

We’re sorry, but we cannot arrange for a volunteer to collect food from you if the food cannot be rechilled. This is because by the time they get the food to the end consumer, too much time will have passed for the food to be out of the chill chain. However, you can add a listing yourself within the OLIO app which will advertise the food directly to nearby users in your community who can eat it straightaway. It's very easy, give it a go!

Hot Food

At the time of collection, how long will the food have been out at room temperature?

We're sorry, but we cannot arrange for a volunteer to collect hot food from you as if hot food was kept below 63°C for more than 2 hours must be discarded by law. We're sorry, but we cannot arrange for a volunteer to collect hot food from you because it is forbidden by law for us as a food business to pass on hot food that has been outside temperature control for more than 2 hours.

Refrigeration / Blast Chill

Can the food be refrigerated prior to collection (is there a blast chiller available)?

We're sorry, but we cannot arrange for a volunteer to collect hot food from you if the food cannot be rechilled. This is because by the time they get the food to the end consumer, too much time will have passed for the food to be safe to eat. However, you can add a listing yourself within the OLIO app which will advertise the food directly to nearby users in your community who can eat it straightaway. It's very easy, give it a go! Please note that hot food that has been kept below 63°C must be picked up within 2 hours of leaving temperature control. Don't worry, 40% of food on OLIO is requested within the first 60 minutes!
